How to Increase the value of your procurement process with AUTTO’s Procurement Automation Software

Complex manual workflows are time-consuming and full of errors, slowing down the whole procurement pipeline. Delays caused by constantly sending documents back and forth, miscommunications and unnecessary spending are some of the top challenges faced by procurement teams.

This makes procurement automation more important than ever.

How does using AUTTO automation the procurement process?

Automating the procurement process brings benefits to procurement teams, other teams in the business utilising the procurement function and suppliers. These benefits include:

  •  Increasing the speed at which documents are processed, shared and approved enabling procurement teams to work more efficiently and source, approve and pay suppliers faster.
  • Providing greater visibility and better collaboration creating better working relationships internally and externally.
  • Encouraging outside teams to engage with the procurement department reducing maverick spending and giving procurement more opportunities to make cost savings for the business.

With AUTTO, you can create dynamic forms and workflows to capture and submit accurate, current data from wherever you are. Simplify purchasing by automating approval processes, generating accurate reports, and decreasing response times with a robust Procurement system.

AUTTO has a role at each stage of the procurement process:

Step 1: Purchase requisition info

Submitting purchase requisitions manually can be an incredibly slow and error prone process. Multiple revisions and numerous approval levels often cause information to get waylaid and cause delays.

Automating the process allows requesters to upload the information required in a predefined template which is then directed to approvers for review. Any feedback or changes can be updated directly in the AUTTO platform making it easier to track progress and approve cases faster.

Step 2: Approval processes

At some point, practically every purchase request requires approval from someone other than the requesting party. In some cases, multiple layers of approval are needed. Often, the approvers are people in other business areas such as finance, compliance, or IT. That can make approvals complicated.

Fortunately, approval processes can be automated. Automation captures incoming requests, routes them to the appropriate approver, and captures signatures and other information. Databases are automatically updated and procurement teams have total visibility into approval status within the AUTTO platform.

Automating approvals also makes it easier for information and communication to cross team or department boundaries.

Step 3: Purchase orders

Much like purchase requisitions, purchase orders often go through multiple touchpoints prior to approval. AUTTO allows you to create a workflow that automatically routes your purchase orders through the appropriate steps based on predefined business rules preventing bottlenecks and allowing them to reach final approval faster.

The beauty of automating the purchase order process is that it reduces that amount of data entry required each time a PO is issued. This speeds up the process and helps teams avoid errors.

4 things you didn’t know you could do with AUTTO

“Where are we with that approval?

I sent an email, did you check it?

Can you forward me the document again?”

These are common quotes to hear in any organisation. Workflows that are handled manually over email create a lot of confusion. It’s hard to know where things stand and what needs to happen next.

AUTTO’s automation software gives people the power to easily automate their day-to-day tasks with simple no-code automation workflows and is quickly gaining recognition for its power to aid in digital transformation. Businesses that want to digitally transform require the highest levels of efficiency to create and scale value for customers and employers.

The world of business is changing fast and there’s no time for hesitation.

With AUTTO, automation is accessible to businesses of all sizes. You can build everything in AUTTO from a simple process to a full operations platform. It is easy to learn and fast to implement with processes being up and running in less than an hour.

Here are four things your business can do with AUTTO.

1. End the paper chase by signing documents electronically

If your organisation is still creating documents from scratch and then relying on signers in a workflow to manually forward the document to the next signer, it might be time for an upgrade.

AUTTO allows you to set up your free Eversign account and add electronic signatures for your documents. Eversign is a tool used to sign legally binding documents online on any device.

AUTTO empowers you to incorporate eSignature and PDF editing into your workflows and utilise no-code automation to handle document management. For added functionality and greater flexibility, adaptability, and scalability, AUTTO integrates with the solutions you already know and love – like Microsoft Graph, Salesforce, Google, and more.

Automatically send business-critical documents and contracts for signature, send reminders, and track progress – from anywhere.

2. Give your forms Super Powers

Form fields make it easy to collect, store, and utilise information, and pass it seamlessly through the company. We have a variety of form fields that you can drag-and-drop into your workflows so you can capture key data, store it safely in the cloud, and automatically transfer it to other apps, platforms, and software.

When the workflow runs, your users answer your questions in turn via the form, as displayed on the User Application. The form can be viewed and answered using both desktop and mobile.

Each of the question types can also be set to include Conditional Questions if required. With Conditional questions, a question can be made to appear or disappear, depending on certain conditions.

3. Business process integration for every outcome

AUTTO integrates your business apps within your automated workflows. Integration is as simple as dragging a built-in app into the AUTTO designer canvas. We cover the popular apps you use every day, and we have created a sophisticated no-code API Manager that enables you to build your own bespoke integrations to APIs without writing a line of code.

This means you can choose which systems you want to integrate into and exactly what information you want to get or send in a matter of minutes.

4. Streamline processes with automated routing and a rule-based workflow

AUTTO gives authorised users the ability to forward or route documents easily to individuals or groups of users, making collaboration more efficient and effective.

Administrators may also establish sequential routes or rule-based workflows to facilitate document-processing speed and escalation procedures, automatically routing documents to the correct user for processing, or seamlessly export data to external systems.

Employee Onboarding: An HR Managers Guide to Automation

Onboarding is a key HR process that lays the foundation for a successful long-term employment relationship. Yet few organisations do it well. According to Gallup, just 12% of employees believe that their organisation does a great job of onboarding its new hires.

This statistic shouldn’t be taken lightly for employers, as poor onboarding experiences can negatively impact employee retention, productivity, and the employer’s reputation.

Manual onboarding processes are a key contributor to high costs and poor onboarding experiences. According to HCI, 58% of organisations report that their onboarding program is focused on processes and paperwork. With onboarding automation software like AUTTO, organisations can reduce costs, experience 62% greater new hire productivity, and boost retention by 50%.

You can prevent bad onboarding experiences by engaging in onboarding automation.

Benefits of Onboarding Automation

Onboarding automation delivers two primary benefits. First, it improves the onboarding experience by giving HR teams more face time with new hires.

Second, it helps HR teams deliver a standardised onboarding process, which improves retention and productivity.

Other benefits include:

1. Saves time and simplifies paperwork. Manually onboarding is document-intensive, requiring employees to fill out endless forms and staff to review and file them. With onboarding automation, you can create simple and error-free workflows to eliminate paper-based processes. Employees can complete and sign documents online and they will be stored securely and easily accessible by HR staff.

2. Fewer errors. By taking repetitive work off your team’s plate, you decrease the chances of anyone making a mistake, forgetting a step, not warning other departments of something important, or leaving a new hire behind in their onboarding.

Create the  onboarding checklist, set up your AUTTO account to make it work, and let your team use their time to take care of people, not bureaucracy. All without writing a line of code.

3. Increased efficiency. You can automate tasks like messaging candidates, sending contracts, warning other departments about new hires, or scheduling reminders for check-in meetings. This way, the HR team frees up their time to focus on strategic and creative tasks. With AUTTO, you’ll save time, do more, and focus on providing an excellent experience for new hires.

Walking through our employee onboarding workflow

AUTTO’s intuitive HR automation software makes onboarding automation easy because it relies on a no-code, drag-and-drop interface. That means any HR team member (with permission) can create automation rules without writing a single line of code.

1. Create an employee record and collect information

The first thing we need to achieve is to create a new record for the new employee in your database. Each record will collect all the employee’s required personal information to fill out, and sign, before their first day on the job.

We can achieve all of this with one simple automation.

We need to find a way to collect data from the employee. The simplest way to achieve this is by using the form action which is already plugged into your template or you can build custom HR forms for new hires, containing any data you wish. AUTTO  will then generate and send a custom email to the employee using the ‘Send Email’ action.

Here’s what the scenario looks like.

You can see how the name of the employee is automatically added to the first line of the email.

2. Send a welcome message.

Another important task in any onboarding process is introducing your new employee to your entire team.

A popular way to do this is by posting a welcome message on your business chat platform. For this example, we are using Slack as the  business communications platform.

This is often a formality, but also a good opportunity to initiate conversations and get to know each other better.

The Onboarding workflow has been integrated into the company’s Slack channel and contains an action “Welcome Message” option under the Integration field.

The data of the employee record, such as the first name, is passed on to the company’s Slack channel. Here, AUTTO automatically creates a welcome message containing:

The new hire’s full name

The department they will be working in

3. Track and view progress

Tracking the progress of multiple onboarding employees can be a hassle. Once you’ve hit ‘published’ on your onboarding workflow, AUTTO provides an easy solution by enabling you to view the status and workflow progress of each request from a central dashboard.

Each workflow dashboard features four data tabs:

  1. Progress
  2. Workflow Data ( Allowing you to see the actions completed in the workflow)
  3. User
  4. Analytics

Teams can use these dashboards to track high-level overviews and the status of each individual’s onboarding process.

Conclusion

We have seen how the repetitive and time-consuming processes of an onboarding workflow can be completely automated with AUTTO.

Bear in mind that we are only scratching the surface of AUTTO-powered onboarding automation.

Chances are that if you have an onboarding workflow in place, it can be fully or partially automated. Whether you want to scale up the process or free up your HR’s team with tech , onboarding automation is how you get there.

How does AUTTO help Legal Contracts?

Legal document automation is a boon for law firms, paralegals, and even consumers of legal services. In the past, lawyers spent a lot of hours creating and managing legal documents. But with the invention of legal document automation tools, lawyers can now free up their schedules and focus on key business areas.

An in-house lawyer is an extremely expensive resource to be deployed on searching for Word documents and PDFs from shared drives and sending them out to colleagues or clients. What makes it worse is when the query is vague, or missing information, making it even harder for the legal team to find and share the appropriate contract.

One of the best ways to improve this process is by setting up a self-serve workflow using contract automation.

How AUTTO Solves Contract Generation

 1. The challenge:

High turn-around time for documents which can slow down business deals. For both business users and the legal team, the manual collection of client data for the contract is time-consuming and repetitive.

How AUTTO solves this problem:

AUTTO builds in smart, dynamic forms with complex rules and conditional logic, allowing information to be collected via different question types. You can also add, subtract, and edit entire clauses, as well as calculations, empowering business users to self-serve without requiring input from the legal team.

2. The challenge:

Clients experience a tedious and lengthy contract signing process by having to download, sign and re-send their contract.

How AUTTO solves this problem:

Set up your free Eversign account and add electronic signatures for your documents within the AUTTO workflow, providing an effortless experience for clients and reduce friction and time to execution.

3. The challenge:

Minimal visibility on the finalised document post-signature.

How AUTTO solves this problem:

Generated and signed documents are all stored in AUTTO and can be sent to store in our integrated document systems such as Google Drive, One Drive and Dropbox.

The contract workflow approval process

Sending a contract for approval can be painful. From miscommunication to loss of version control and long delays – the manual contract approval process has many flaws. However, given the important role that contract approval plays in getting contracts over the line, it’s a stage that legal and business teams can’t afford to overlook.

With AUTTO’s automated approval workflow for contracts, reviewing and approving contracts has never been more straightforward.

1. Draft your contract

The first step to automate the process is creating a new draft either from scratch or by using one of our pre-populated legal templates.

2. Share your draft with viewing or editing rights

You can now get input from others by sharing your draft. Let them check, comment, and add on what you did first. You can invite new collaborators by pressing “Invite User” on the settings menu located on the top bar. If you add a user, you can choose whether to give them editor or viewer rights.

  1. Go to the draft view in the editor, click settings, click publishing settings
  2. Select the user group / invitation required, then click update and okay on the follow up prompts
  3. Click the publish rocket and the publish button
  4. Go to the published view in the editor, click settings and then invite user

A task email action (with the contract attached to the email) would take care of the approval step.

For an approver their experience should be straight forward. AUTTO sends an email with the contract attached and they can approve/refuse it simply by clicking a button.

The attached contract can be one generated by AUTTO or it can be one that gets uploaded to AUTTO for the legal team to review before signature.

The contract approval process in a nutshell.

The manual practice of contract generation and the contract approval process will not only be a strain on resources but could compromise your compliance and security.

Document Automation software like AUTTO can automate the entire workflow — from creation, approval or rejection, revision, and signing. This way, your team can process contracts easier, faster, and most importantly, risk-free.
